At a congress a contribution does not stand alone. It stands between other expert sessions, often directly before or after a panel, and the audience compares — not with yesterday's talk, but with the one half an hour earlier.

That changes what is required. A contribution that carries at a company event because it creates a mood falls flat at a professional conference. What counts here is whether the statements hold up against a question from the floor and whether the examples can be substantiated.

What distinguishes this from a general AI overview

Most contributions on artificial intelligence explain what is technically possible. At a professional conference the audience already knows that — and goes home feeling they have heard nothing new.

This contribution starts somewhere else: why do initiatives stall even though the technology works? The answer does not lie in the model but in decision paths, responsibilities and incentives. That is an organisational question, and it is rarely asked at technology congresses.

Which formats the contribution is made for

  • Plenary talk, 30 to 45 minutes, as a thematic frame at the start or as a sharpening at the end.
  • Short slot in the parallel programme, 20 minutes, focused on one thesis rather than an overview.
  • Workshop format with a working element, 60 to 90 minutes, where the programme provides for it.
  • Panel — as a participant or as facilitator, both by arrangement.

What the programme committee gets

  • Title and abstract in two lengths, around 60 and around 200 words, ready for the programme booklet.
  • Short biography in three lengths (25, 60 and 150 words) and cleared press photos at web resolution; the print originals at 300 dpi with the photographer's credit follow on a short message.
  • On request, three learning objectives in bullet form, for programmes that want to tell participants in advance what the contribution offers.
  • The agreed speaking time is kept. Anyone who overruns takes the time from the next contribution.

What the organiser provides

A projector or LED wall with an HDMI connection, a headset or lapel microphone and a connection for his own laptop. For panels, a second microphone for questions from the floor. The presentation is supplied in advance as a backup. Headset or lapel microphone, not a handheld.

What the contribution explicitly is not

Not a product talk and not consultancy sales from the stage. Examples from his own work appear because they are the evidence for what is said — not as a reference list. If your format includes a sponsor stage, that is something different and is named as such beforehand.

Process

Four steps into your programme.

1. Enquiry

Date, location, speaking time and the audience of the congress are enough for a first answer, usually within 24 hours.

2. Submission

Title, abstract and learning objectives in your format — on request directly in your call for papers form, not as a reference to separate material.

3. Alignment

A preliminary call of about 30 minutes on the fit with the overall programme: what runs before, what after, which thesis should stay with people.

4. The engagement

A technical check beforehand, the speaking time kept, presence beyond his own slot as far as the schedule allows.

What does the programme committee need for the announcement?

Title, abstract in two lengths (around 60 and around 200 words), short biography in three lengths and cleared press photos. Everything is in the speaker kit and available without asking.

The photos there are cleared at web resolution. For a programme booklet, roll-up or poster we send the originals at 300 dpi with the photographer's credit — a short message to mail@calade.de is enough.

Does the contribution work for an expert audience that already knows AI?

That is what it is made for. It does not start by explaining what a language model is, but with the question of why initiatives stall in organisations even though the technology works. That is an organisational question, not a technical one — and it is rarely asked at professional conferences.

For a mixed audience the opening can be broadened. That is settled in the preliminary call, not improvised on stage.

Is the speaker also available for a panel?

Yes, as a participant and as a facilitator. As facilitator it is agreed beforehand which questions are set and which stay open, and how questions from the floor are handled.

Panel contributions are not used as a second talk. Whoever facilitates holds back; whoever participates answers the question that was asked.

Is there promotion of his own company from the stage?

No. The contribution cites examples from his own work because they are the evidence for what is said, but it is not a sales talk. A congress programme that allows promotional slots loses its audience — that is in everyone's interest.

How long is the contribution and how much lead time does it need?

Usual formats are 30 to 45 minutes in plenary, 20 minutes as a short slot, 60 to 90 minutes for a workshop format with a working element. Lead time is usually six to eight weeks; short-notice requests are possible if the calendar allows.

Congresses are often planned far in advance. In that case ask about the date early — with confirmation of the offer it is fixed.
